He\/she serves as a point of contact and link between employees, internal departments (Log, HR, FIN) and external parties. She\/he handles clerical and administrative duties, analyzes and improves office processes, ensuring organizational policies are in place and the smooth operation of the project in N. Greece. He\/she is also responsible for collecting the necessary information and data, update the project\u2019s database, and prepare statistical and other reports as requested. He\/She is responsible for the implementation and monitoring of 2 grants provided by SN to organizations in N. Greece and ensures the smooth managing of the said partnerships.<\/p>\n<p><strong>Responsibilities and Duties<\/strong><\/p>\n<p><strong>General Administration<\/strong><\/p>\n<p><strong>\u00a0<\/strong>Provides logistics and admin support to the Project Coordinator.<\/p>\n<ul>\n<li>Collects progress reports received from the field teams to facilitate programme reporting.<\/li>\n<li>Updates the project\u2019s organizational chart and job descriptions, assisting with preparing annual holiday planning and staff shifts in order to forecast HR needs.<\/li>\n<li>Assists and participates in HR processes such as recruitment, training, briefings, evaluation and development of staff.<\/li>\n<li>Places calls\u00a0and writes letters to local &amp; institutional authorities and other organizations.<\/li>\n<li>Responsible for purchases in coordination with the Procurement Department.<\/li>\n<li>Participates in field trips and assessments, as requested and directed by Project Coordinator.<\/li>\n<li>Handles travel authorization forms and collects time sheets of staff.<\/li>\n<li>Collaborates with Finance Department regarding payments, purchase requests, etc.<\/li>\n<li>Undertakes any other tasks requested by the Project Coordinator.<\/li>\n<\/ul>\n<p><strong>Grants Management<\/strong><\/p>\n<p>Coordinates the implementation, monitoring and evaluation of the 2 grants provided by SN to partner organizations in N. Greece.<\/p>\n<ul>\n<li>Manages relevant budgets and reporting of grantees.<\/li>\n<li>Maintains strong partnership and effective collaboration with grantees.<\/li>\n<li>Conducts regular communication and follow up on project implementation including review of progress reports and evaluation of payment requirements.<\/li>\n<li>Carrying out administrative actions relating to the implementation of projects \/ grants<\/li>\n<li>Preparing and reviewing financial and other documentation to support audits in collaboration with the 2 grantees.<\/li>\n<li>Prepares internal and external programme reports.<\/li>\n<\/ul>\n<p><strong>Qualifications<\/strong><\/p>\n<ul>\n<li>Master\u2019s degree in relevant field (i.e. Humanities, Social Sciences, Political Sciences, International Relations, Law, Economics or relevant field).<\/li>\n<li>Minimum 2 years\u2019 experience in similar position.<\/li>\n<li>Sound knowledge and experience of NGO humanitarian\/development program cycle management and experience of working within a complex organizational structure.<\/li>\n<li>Project management skills regarding development, staffing, budgeting and scheduling<\/li>\n<li>Knowledge of MS Office (Word, Excel etc.)<\/li>\n<li>Fluency in Greek and English, proficiency in other languages desirable.<\/li>\n<li>Respect of humanitarian principles.<\/li>\n<li>Field experience working with refugees\/migrants and\/or other vulnerable groups would be appreciated.<\/li>\n<\/ul>\n<p>If you are interested in applying, please send your CV and motivation letter to\u00a0 <a href=\"mailto:thes-recruitment@solidaritynow.org\">thes-recruitment@solidaritynow.org<\/a>\u00a0mentioning in the email subject\u00a0<strong>\u201cAdmin &amp; Grants officer _ Thessaloniki\u201d.<\/strong><\/p>\n<p><em>SN is an equal opportunity employer.
