Job Overview
The postholder will provide administrative support for the project, handle clerical and administrative duties, adhering to organizational policies, and supporting the smooth and effective implementation of the project and Premises.
Main Responsibilities and Duties
- Serve as a point of contact and link between employees, internal departments (Human Resources, Procurement, Finance) and external parties.
- Maintain a well-organized environment, including managing relevant supplies and equipment. Support on maintaining an asset register at site level, collaborating with relevant departments to manage, track and update inventory levels
- Coordinate project meetings, events, and travel arrangements.
- Prepare, edit, and manage correspondence, reports, and presentations.
- Organize and maintain filing systems (physical and digital).
- Welcome visitors and handle incoming inquiries via phone, email, and mail.
- Support project teams with administrative tasks, including documentation and data entry.
- Ensure timely dissemination of information relating to the project.
- Administrative and logistical tasks to support the daily operation of the project and the needs of project staff, with tasks both within and outside the premises.
- Provide regular secretarial tasks, such as taking minutes of meetings, communications correspondence, contact lists.
- Other position-related responsibilities as assigned by supervisor.
Qualifications
- BSc degree from any field of academic institution;
- Relevant experience in administrative/secretarial tasks;
- Excellent organizational and time management skills;
- Fluency in Greek and English language;
- Proficiency in Microsoft Office Suite, and office management tools.
- Strong interpersonal & communications skills;
- Sound work ethics;
- Familiarity with NGO operations or the non-profit sector is a plus.
- Responsibility, accuracy and attention to detail;
- Ability to multi-task and work under pressure;
- Ability to work on own initiative and as part of a multi-cultural and multi-disciplinary team.
