SolidarityNow participates as a partner in the project “Helios+: “Integrated actions for the integration of third-country citizens intο the labor market” in the Region of Attica with Pr. No. 271764/05.11.2024, Call Code: 01 Helios+ and Call Name Number of OPS Information System: 12914, , funded from the Ministry of Migration and Asylum (General Secretariat for Migration Policy – Special Service for the Coordination and Management of Migration and Home Affairs Programs – E.Y.SY.D. – M.E.Y.).
The 30-month project aims to support the integration of third country citizens, Beneficiaries of International Protection and Beneficiaries of Temporary Protection in Greece, through a holistic approach which embodies their access to education, the labor market, and vocational training. The Act will include actions such as enhancing and facilitating access to the labor market through career counseling, enhancing the beneficiaries’ ability to live independently through learning the Greek language, supporting beneficiaries during the integration process and promoting interaction with local communities and their autonomous access to social and public services, enhancing independent living through the provision of housing support, sensitization of host communities and stakeholders for the social and labor integration of beneficiaries.
In this context, one (1) position of FRONT DESK AND ADMINISTRATIVE SUPPORT OFFICER OF THE SOLIDARITYNOW CENTER for the ATTICA REGION SUBPROJECT of HELIOS+ (based in Athens) is announced, with a Fixed-Term Contract and full-time working hours (09.00am-17.00pm, Monday to Friday).
Α. GENERAL DESCRIPTION:
The Front Desk & Administrative Support Officer of the Subproject Center for the Attica Region (based in Athens) will be responsible for the reception and registration of beneficiaries, providing first-level information, and guiding beneficiaries to the specialized services of the center. They will also be responsible for preparing the necessary documents for their registration, monitoring the security of the center, and ensuring the smooth operation of the center’s overall spaces and equipment.
B. DUTIES:
- Reception and welcoming of beneficiaries and visitors to the Center in a warm and friendly manner.
- Providing information about the Center and its services to the beneficiaries of the subproject, as required.
- Providing administrative support to ensure the smooth daily operation of the Center.
- Managing the Center’s calendar and scheduling of sessions, appointments, etc., in coordination with the Center’s Coordinator.
- Managing the Center’s correspondence and communications (phone/email/mail).
- Updating and maintaining a contact list.
- Effectively maintaining filing systems, both electronic and paper-based.
- Collecting and organizing the data required for each beneficiary.
- Monitoring the Center’s spaces and their security, maintaining cleanliness and order, aiming to ensure smooth and efficient operation, in close cooperation with the Center’s Coordinator.
- Other related duties as assigned by the subproject Coordinator.
- Participation in SolidarityNow meetings.
Necessary qualifications:
- University Education (U.E.) in Pedagogical Studies, Administrative Studies, and/or other related fields.
- At least three (3) years of experience in a corresponding position of responsibility, preferably in the field of humanitarian organizations.
- Very good knowledge of English (level C1/C2).
- Knowledge of computer use in the subjects of: a) word processing, b) excel spreadsheets and c) internet services.
- Excellent interpersonal, team and communication skills.
- Ability to organize and prioritize workload using initiative.
- Ability to work under pressure.
Desirable/considered qualifications:
- Experience in customer service.
- Ability to manage multiple tasks.
- Intercultural awareness and flexibility.
- Ability to work on own initiative and at the same time as part of a multicultural and interdisciplinary team.
- Knowledge of French, or Arabic, or Farsi, or Pashto, or Urdu is an advantage.
C. EVALUATION PROCEDURE
In the first phase, interested parties are invited to send to recruitment@solidaritynow.org stating in the subject of the email “FRONT DESK AND ADMINISTRATIVE SUPPORT OFFICER OF THE SOLIDARITYNOW CENTER for the ATTICA REGION SUBPROJECT of HELIOS+’’ the following:
- Detailed CV (in Greek language)
- Motivation Letter (in Greek language) for this position. CVs without a motivation letter will not be considered valid and will not be included in the evaluation process.
The deadline is December 26th, i.e. 15 calendar days from this posting. The initial evaluation will be carried out by the competent committee of SolidarityNow, in compliance with the current legislation and the general principles of the EK Treaty, especially the principle of equal treatment, non-discrimination, gender equality, meritocracy and transparency. A provisional scoring list will be drawn up and the short-listed candidates will be invited via email to an interview (an online one, where face-to-face is not possible).

E. RESULTS
- Candidates shall be ranked in descending order in tabular order based on the total marks obtained from the criteria marked.
- In case of a tie between candidates in the overall score, the person who has the most points in the Interview Criteria shall take precedence and, if they coincide, the one who has the most points in the Criterion of experience. If all the criteria coincide, the order between the tied candidates shall be determined by public drawing.
- The final ranking list on which the relevant recruitments will be made is kept for reasons of safeguarding personal data in the file of the human resources department of SolidarityNow and the successful candidate will be informed via email with the standard job offer procedure. Candidates who are not selected for the position are informed accordingly.
In case of selection to fill the position and to sign the relevant contract, the successful candidate must provide the following supporting documents:
- Photocopy of proof of identity (for Greek citizens and citizens of another EU member state), identity card of expatriates (for Greek expatriates) or photocopy of the valid legal residence permit (for third country citizens (e.g. identity card of recognized refugee, asylum seeker’s card), as well as other forms proving personal data (VAT number, AMKA, AMA, etc).
- Proof of their educational and professional qualifications (degrees, certifications, etc.)
- Certification of work experience.
- Extract from the criminal record of the last three (3) months, proving that the candidate employee has not been convicted of an offense punishable by a prison sentence of at least one (1) year, as well as offences of grievous bodily harm, abduction of a minor, involuntary abduction, violation of sexual dignity, seduction of children, abuse of minors in lewdness, pornography of minors, solicitation of children for sexual reasons, pimping, exploitation of a prostitute, sexual abuse of a minor for remuneration, and extortion, in accordance with article 22 of Law 4375/2016. The criminal record extract is a necessary element for the recruitment of any employee and should therefore in any case be submitted before any recruitment. In case of failure to submit an extract from a criminal record, any recruitment decision is cancelled, and the organization proceeds with the recruitment of the next candidate on the evaluation list.
Clarification
The methods of proving the above criteria are described in detail in the attached annex. The requirements of all existing, listed and submitted qualifications by candidates should be met during the assessment. It is noted that false declaration or concealment of data carries statutory penalties.

ANNEX
GENERAL INFORMATION
Candidates who are: a) Greek citizens, b) citizens of other Member States of the European Union, are admitted, subject to the restrictions of Article 1 par. 1 of Law 2431/1996 and c) third-country citizens who have the right to work in Greece and adequately document it.
For candidates without Greek citizenship, knowledge of the Greek language is required to an extent sufficient to perform the duties of the relevant specialty. In order to prove knowledge of the Greek language, a certificate of attainment in Greek (Law 2413/96 article 10 par. 1) issued by the Greek Language Centre is required:
- a) Ministry of Education and Religious Affairs Andrea Papandreou 37, P.C. 151 80 Athens, tel. 210−3443384 and b) Karamaouna 1, Pl. Skra, P.C. 55132 Thessaloniki.
The responsibility for the correct submission of the application and the submission of all required supporting documents lies exclusively with the candidate.
NECESSARY DOCUMENTS
1) Personal Data Certification Document & other forms for the certification of personal data AMKA, VAT NUMBER, AMA, etc.
Applicants shall provide a clear photocopy of both sides of the personal identity card or of the other public documents showing the identity data, such as a relevant provisional police certificate or the critical pages of the passport (i.e. those indicating the holder’s number and identity details) or the two sides of the driving license or the critical pages of the personal health booklet of all insurance institutions. If these documents do not show the date of birth, a birth certificate must also be presented.
Candidates must provide also copies of their AMKA certificate, VAT number, insurance registration number (AMA).
2) Greek Language Certification Document (for candidates without Greek citizenship)
For the candidate without Greek nationality, who must prove that he knows the Greek language to an extent sufficient for the exercise of the duties of the intended specialty, a Certificate of Attainment in Greek (Law 2413/1996 article 10 par. 1) issued by the Greek Language Centre:

For the categories of University (U.E.) and Technological Education (T.E.)
The above Certificate of Attainment in Greek is not required for expatriates and foreigners who attend or have attended programs or courses of the Greek language within the organized Greek educational system both in Greece and abroad. It is also proven by a corresponding certificate of the School of Greek Language of the Aristotle University of Thessaloniki.
3) Degrees-Diplomas
All candidates must provide a clear photocopy of their Diploma stating the exact grade, date and year of acquisition. If the grade is expressed in terms of merit or a whole number (whether it is a rounded whole number or a pure whole number), he must also submit a certificate from the relevant school for the exact numerical grade, to two decimal places. In the case of tertiary education degrees (Α.Ε.Ι. – Α.Τ.Ε.Ι.) where the grade results only from an evaluative characterization (scales “EXCELLENT”, “VERY GOOD” or “GOOD”), if the candidate cannot provide a certificate for the exact numerical grade, the lowest score corresponding to each evaluation scale must be entered in the corresponding field, namely:
“8.50” for “EXCELLENT”, “6.50” for “VERY GOOD” and “5.00” for “GOOD”. In case the grade is not even derived from a merit characterization, the minimum of the tertiary education grading scale, i.e. “5.00”, must be entered in the corresponding field.
4) Professional Licenses or Other Professional Licenses, Certificates – Certificates
All candidates who choose a position for which the LIST OF POSTS or the LIST OF COMPULSORY QUALIFICATIONS contains as a mandatory qualification the possession of a license to practice a profession or another professional license or any other certificate they respectively submit:

2) Certificate issued by a competent administrative authority that meets all the legal requirements for practicing the respective profession (Law 3919/2011, as in force)
Proof of Experience Documents
Experience is considered if it has been acquired in Greece or abroad after obtaining the basic degree with which the candidate participates in the competitive procedure and, where required, in accordance with the qualifications as defined.
Graded experience will consider employment with an employment relationship or work contract in the public or private sector or exercise of a profession in duties or projects related to the subject of the positions to be filled for all positions.
Ways to prove experience
The supporting documents required, on a case-by-case basis, to prove the type and duration of the experience are the following:
For employees in the public and private sectors:
- Certificate from the relevant insurance institution or employer, showing the duration of the insurance.
For freelancers:
- Certificate from the relevant insurance institution, stating the duration of the insurance. At least one relevant contract or service vouchers, indicatively covering the duration and type of experience
Proof of computer knowledge
The knowledge of computer use in the subjects of: a) word processing, b) excel spreadsheets and c) internet services is proven according to the presentation of a corresponding degree or certificate.
Language Qualifications
Language proficiency is proven by the presentation of a corresponding degree or certificate.
