Job Overview

Youth Center Manager is aiming at supporting the young PoCs (18 -22) living at the Youth Shelter towards independent life

Responsibilities and Duties

  • Assess needs of PoCs accommodated in the Youth Shelter and provide psychosocial support
  • Performs necessary administrative tasks (approval of annual/ sick leaves, draft PRs )
  • Monitor technical status of Youth Shelter and liaise with the relevant services accordingly for its appropriate maintenance.
  • Collaborate with the Project Coordinator, all the teams within the project and other departments in order to ensure the smooth implementation of the project
  • Participate in meetings and represent the organization
  • Draft reports on monthly basis

  • Be aware and follow up certain donor or organizational commitments related to the implementation of the project.

Qualifications

  • University degree from an accredited academic in in Political or Social Sciences, Law, Human Rights, International Relations, Administration or other relevant field
  • Minimum two (2) years of relevant experience in coordination positions in humanitarian context;
  • Experience in working with IOs, NGOs as well as with governmental and local authorities;
  • Excellent capacities in word and excel processing and drafting in English and Greek;
  • Good knowledge and competence of IT applications and software;
  • Ability to work on own initiative and at the same time as part of a multi-cultural and multi-disciplinary team;
  • Ability to organize and priorities workload, using initiative when appropriate;

About Athens Solidarity Centre

The Athens Solidarity Centre (ASC) aims to provide holistic support to individuals at risk of social marginalisation and exclusion and paves the way towards their empowerment and self-reliance. Through the operation of the ASC, SolidarityNow aims to provide increased opportunities for integration and social inclusion for vulnerable individuals through the provision of a comprehensive package of services including psychosocial support, employability, legal aid and accounting. Services are provided irrespective of their nationality, religion, race and social status. The Athens Solidarity Centre along with the Thessaloniki Solidarity Centre – successfully operating since January 2014 – consists the backbone of SolidarityNow’s strategy to alleviate the suffering of the those in need while actively working towards a more proactive, open, just and democratic society.

Position Summary:

The ASC Coordinator oversees the operation and services of the Athens Solidarity Centre (ASC). (S)he reports to the SN Director of Programmes and collaborates closely with the Programmes team based in Athens. This is a full-time position based in Athens with occasional travel to Thessaloniki and other international destinations, mainly for training and PR related activities (e.g. participation in conferences etc.).

Responsibilities:

  • Ensures quality operations and relevant service provision in close coordination with the Support Services Coordinator and Team Leaders.
  • Oversees daily activities of ASC and the implementation of all projects in the centre (both those directly implemented by SN and through project partners) to effectively respond to the needs of all beneficiaries.
  • Contributes to the achievement of SN’s overall strategy and objectives in relevant fields (protection, mental health, legal aid, employment, accountancy).
  • Ensures that all approved projects and actions are implemented in a timely manner, in line with SN and donor regulations.
  • Coordinates the development of activity plans in collaboration with the ASC team and the Program’s Dpt.
  • Closely monitors the project’s achievements in line with the agreed framework by using relevant tools.
  • Prepares and submits progress and other reports as per donor agreement
  • Manages the project budget and collaborates with the Finance Dpt for the preparation of budget revisions.
  • Participates in the drafting of new project proposals and applications.
  • Participates in the drafting of other programme related documents (e.g. ToRs, log-frames etc.) upon relevant request
  • Regularly and consistently assesses the area of intervention in order to identify relevant gaps and/or needs
  • Regularly liaise with local communities creating/maintaining a vivid network of stakeholders and actors
  • Establishing partnerships to bring in new populations and organisations to the ASC and make it a multicultural service-provision hub

Operations & HR

  • Provides day to day guidance for ASC personnel as and when necessary
  • Directly supervises ASC personnel as per the defined personnel structure and in line with SN policy and procedures.
  • Leads the recruitment process for any new ASC staff
  • Contributes to building staff capacity through team mobilization, guidance, coaching and on the job training.

Representation

  • Represents SN with the project donors, local communities, civil society actors, local branches of the regional and state government and media in consultation and collaboration with SN Management Team.

Requirements

Essential

  • At least five years’ experience in a relief, development or advocacy, three of which should be in a managerial capacity.
  • Bachelor’s Degree in Social Sciences or any other related fields required or, in the absence of it, over 10 years of experience in similar positions.
  • Field-based project management/ implementation experience and familiarity with the civil society space and actors in Greece
  • Communication skills (oral and written).
  • Strategic thinking /planning skills
  • Understanding of humanitarian sector, issues and mechanisms
  • Fluency in Greek and English
  • Strong negotiation skills

Desirable

  • University Degree Master’s equivalent in law, human rights or other relevant field of studies
  • Operational Experience in the humanitarian sector

  • Focal point of communication for vulnerable families or vulnerable beneficiaries;

Job Overview

The Administrative & Logistics Assistant is a member of the coordination team of the project and serves as a point of contact and link between employees, internal departments (Log, HR, FIN) and external parties. She/he handles clerical and administrative duties, analyzes and improves office processes, ensuring organizational policies are in place and the smooth operation of the office.

Responsibilities

HR

  • Implement SN’s internal communication policies and ensure HR reporting for the project
  • Find the best options to avoid and/or resolve labour conflicts in the project under the guidance of the HR department
  • Update the project’s organizational chart and job descriptions, assisting with preparing annual holiday planning and staff shifts in order to forecast HR needs
  • Plan and participate in HR processes such as recruitment, training, briefings, evaluation and development of staff
  • Ensure that hiring, contract amendment and termination formalities for project staff are carried out according to internal policies, under the guidance of HR and by preparing and filing all relevant documents
  • Plan the Annual Leaves of the Personnel
  • Manage logistical and administrative aspects of personnel traveling (tickets, planning of cars, etc)
  • Train, supervise and assist with the staff management

General Administration

  • Provide logistics and admin support in general for visits, meetings and workshops

  • Degree – Bachelor degree in primary education or Greek philology
  • Certification of the teaching qualification of Trainers for Adults in non-formal education (attributed by National Organization for the Certification of Qualifications & Vocational Guidance)
  • Proven knowledge of training, curriculum development and implementation
  • Experience in report writing and excellent computer skills
  • Experience teaching Greek as a second or foreign language will be an advantage
  • Master’s degree in teaching Greek as a second or foreign language or Intecultural Education or any other relevant field will be an advantage

EDUCATION OFFICER (ENGLISH TEACHER)

Child Safeguarding Policy: Level 3 – The job holder will have regular contact with children

Generic responsibilities

  • Implement English language classes per the refugee population needs
  • Expand and build on the existing educational curriculum, targeting and addressing the needs of different age groups of children, teenagers and adults
  • Provide homework support for the children who attend formal education
  • Oversee distributions of teaching and learning material according to the population’s needs
  • Update and maintain effective workplans
  • Ensure on-going monitoring, tracking and reporting of classes
  • Develop and maintain effective filing systems, both electronic and hardcopy
  • Support education, recreational and various activities
  • Contribute to the identification of vulnerabilities and facilitate access to available aid

Qualifications

Essential

  • Excellent English and preferably Greek or Arabic
  • Degree – Bachelor degree in education (any subject) or English
  • Proven knowledge of training, curriculum development, implementation and educational administration
  • At least 1 year of professional experience in educational programs for refugees or rural communities
  • Experience teaching English as a foreign language
  • Experience engaging with parents and communities in order to improve attendance and address students’ needs
  • Strong analytical and administrative skills in the management of educational programs and mainly primary education
  • Experience in report writing and excellent computer skills
  • Experience in training of trainers/facilitators skills will be an advantage
