ATHENS SOLIDARITY CENTER (ASC) RECEPTION COORDINATOR

Reports to: ASC Coordinator

Responsibilities

  • Welcomes beneficiaries in a professional and friendly manner.
  • Greet beneficiaries, sharing information about the ASC, the services provided, and the process required to access them.
  • Provide information and referrals about complementary services provided outside the ASC.
  • Ensure the proper registration of beneficiaries in accordance with ASC operating system (issuing cards, managing database, ensuring GDPR process is adhered to).
  • Coordinate scheduling of appointments, ensuring the prioritization of vulnerable cases.
  • Responds to incoming calls, shares information, takes messages etc.
  • Lead regular mapping of organizations supporting ASC beneficiary groups to assist referral process.
  • Directly supervise the Reception Officer and ASC interpreters, including scheduling and performance evaluation.
  • In coordination with the ASC team, ensure that beneficiaries feel comfortable and safe to share their concerns freely.
  • Respect the SN code of conduct, with an emphasis on confidentiality.
  • Support the operationalization of the Complaints Response and Feedback Mechanism in collaboration with SN’s Monitoring and Evaluation Manager.
  • Administrative and logistics tasks to support the daily operation of the ASC.
  • Support the organisation of events and meetings at the ASC.
  • Participate in internal coordination meetings.
  • Take care or supplies related to reception.
  • Handles all posted announcements as well as online info provision to beneficiaries.
  • Monitor lending library system and internet corner.
  • Other position-related responsibilities as assigned by supervisor.

Required Qualifications

  • University or advanced education degree.
  • Experience in a similar role, preferably in NGOs, community centers, or service-oriented environments.
  • Fluency in Greek and English (spoken and written); knowledge of additional languages (e.g., Arabic/Farsi/French/Urdu) is a strong asset.

  • Organizational and multitasking skills – managing a busy front desk, handling multiple inquiries, and coordinating services efficiently.
  • Empathy and cultural sensitivity – understanding the challenges faced by refugees, migrants, and other vulnerable groups.
  • Teamwork and collaboration – ability to work closely with social workers, interpreters, and other staff.
  • Basic IT skills – proficiency in Microsoft Office (Word, Excel, Outlook) and experience using case management systems (preferred).
  • Confidentiality and professionalism – ability to handle sensitive information with discretion.
