Job Overview

The Social Service Coordinator is responsible for supervising the team and provide support and guidance with regards to social work and relevant services provided to SN ESTIA PoCs.

Responsibilities

  • Supervise the Social Team in order to ensure the quality of services provided to PoCs
  • Coordinate the Social Team and performs necessary administrative tasks (approval of annual/ sick leaves, conflict management according to SN policy, performance monitoring of team, monitoring team meets deadlines etc.)
  • Provide capacity building to Social Team with regards to psychosocial services provided to PoCs
  • Conduct weekly meetings with the Social Team and individual meetings when/if necessary, in order to discuss cases and issues related to the team.
  • Coordinate the everyday workload of Social Team in collaboration with the Social Service Coordinator Assistant
  • Provide guidance and capacity building to junior staff
  • Collaborate with the Project Coordinator, all the teams within the project and other departments in order to ensure the smooth implementation of the project
  • Assess PoCs with regards to vulnerabilities and needs and propose the most suitable accommodation choice, in close collaboration with the Accommodation Team Coordinator.
  • Communicate with UNHCR in order to report on any protection and security incidents with regards to the PoCs, in close collaboration with the Project Coordinator
  • Participate in meetings and represent the organization
  • Draft reports on monthly basis
  • Communicate and network with all relevant actors in the field
  • Perform any other tasks requested by the donor/ Project Coordinator/ organization

Required qualifications and skills

  • Minimum of five years’ solid experience in social work and case management
  • Strong protection background (e.g. child protection, domestic violence, other forms of GBV), as well as demonstrated ability to identify and refer vulnerable cases.
  • Knowledge of Greek context in relation to social services provision, including national referral mechanisms and procedures is a must.
  • Experience and good understanding of refugee context is considered a strong asset.
  • Experience in setting up standard operating procedures and ensuring implementation.
  • Experience in conducting best interest/risk/needs assessments
  • Experience in case planning and following up
  • Experience in providing guidance to junior staff and capacity building
  • Experience in communicating and providing documentation to competent authorities (e.g. social services providers, public prosecutors)
  • Demonstrated ability to maintain confidentiality
  • Previous team management experience is strongly preferred.
  • Experience in regular report writing.
  • Experience in supporting senior staff in decision making processes by providing concise information in a credible and timely manner.

Job Overview

The Female Friendly Space Facilitator acts as the coordinator of the space for women and girls. She facilitates access and ensures overall smooth functioning of the space; she conducts tailored psychosocial activities, identifies protection needs and works with other team members in providing support (including counseling and referrals); she encourages the participation of women and girls in group and individual activities (including awareness-raising on SGBV issues, among other themes, and skills-building sessions), so as to facilitate their overall integration and wellbeing in Greece.

Generic responsibilities

  • Maintains a comfortable and safe environment where women and girls can participate in psychosocial activities and receive appropriate support, while also including toddlers with their mothers in the services provided
  • Prepares and implements structured activities for women, girls and mother-child, including the design of weekly schedules and timetables, through a participatory approach, tailored to their needs, skills and cultural diversities
  • Identifies protection and other support needs and refers them to respective colleagues or/and other service providers
  • In coordination with the team’s social scientists, assists in case management and provision of psychosocial support to vulnerable women and girls
  • Carries out awareness raising sessions focusing on gender issues/GBV, Health/Hygiene, Nutrition, Livelihoods, Skills-building etc. Other group activities may include informal trainings, counselling, discussions, information-sharing, art therapy, playtime etc.
  • Carries out community mobilization around the FFS by disseminating clear messages on its role and objectives
  • Liaises with other service providers onsite and follows referral pathways, upon consent of the beneficiaries
  • Keeps accurate attendance records and reports in a timely manner, following respective deadlines and procedures

Qualifications

Essential

  • University Degree in Social Sciences or Humanities or Political Sciences

Main Duties & Responsibilities

  • Focal point of communication for vulnerable families or vulnerable beneficiaries;
  • Assess and address social needs of the beneficiaries, identify and follow-up cases that require special care;
  • Perform case management in cooperation with other project staff and potentially SN partners involved in services provision;
  • Cooperate with interpreters where needed for the provision of social services;
  • Closely cooperate with other team members, passing on crucial information and expressing the need of action clearly and concisely;

  • Manage individual protection cases, including those on SGBV and child protection, and be in-charge of drafting relevant case plans;

Job Overview

The Admin & Grants Officer is a member of the coordination team of the project. He/she serves as a point of contact and link between employees, internal departments (Log, HR, FIN) and external parties. She/he handles clerical and administrative duties, analyzes and improves office processes, ensuring organizational policies are in place and the smooth operation of the project in N. Greece. He/she is also responsible for collecting the necessary information and data, update the project’s database, and prepare statistical and other reports as requested. He/She is responsible for the implementation and monitoring of 2 grants provided by SN to organizations in N. Greece and ensures the smooth managing of the said partnerships.

Responsibilities and Duties

General Administration

 Provides logistics and admin support to the Project Coordinator.

  • Collects progress reports received from the field teams to facilitate programme reporting.
  • Updates the project’s organizational chart and job descriptions, assisting with preparing annual holiday planning and staff shifts in order to forecast HR needs.
  • Assists and participates in HR processes such as recruitment, training, briefings, evaluation and development of staff.
  • Places calls and writes letters to local & institutional authorities and other organizations.
  • Responsible for purchases in coordination with the Procurement Department.
  • Participates in field trips and assessments, as requested and directed by Project Coordinator.
  • Handles travel authorization forms and collects time sheets of staff.
  • Collaborates with Finance Department regarding payments, purchase requests, etc.

Grants Management

Coordinates the implementation, monitoring and evaluation of the 2 grants provided by SN to partner organizations in N. Greece.

  • Manages relevant budgets and reporting of grantees.
  • Maintains strong partnership and effective collaboration with grantees.
  • Conducts regular communication and follow up on project implementation including review of progress reports and evaluation of payment requirements.
  • Carrying out administrative actions relating to the implementation of projects / grants
  • Preparing and reviewing financial and other documentation to support audits in collaboration with the 2 grantees.

Qualifications

  • Master’s degree in relevant field (i.e. Humanities, Social Sciences, Political Sciences, International Relations, Law, Economics or relevant field).

Legal Services Provision

  • Provide individual counseling on e.g. the asylum procedure/ international protection/ refugee laws and individual rights follow up on cases regarding the European Relocation scheme, Family Reunification, and other cases that need legal assistance
  • Provide legal assistance in administrative procedures regarding issuing of birth certificate, tax number, work permit and the like
  • Handle the identified legal cases from the sites

Job Overview

The Procurement / Logistics Officer is expected to support the necessary processes which are related to the administrative, logistics or supply aspects for programs organized or supported by SolidarityNow.

Responsibilities and Duties
·         Organization’s official Buyer, purchasing goods and services according to internal Procurement Policies and Procedures

  • Assists in all administrative and logistic aspects of SolidarityNow projects
  • 360 follow-up of the categories of purchases of goods and services she/he is assigned to by the organization.
  • Performs market researches.
  • Evaluates offers both quantitatively and qualitatively and cooperates effectively with suppliers.
  • Negotiates with suppliers.
  • Issues invoices and purchase orders and signs Goods Receipt Notes.
  • Communicates internally and externally with all stakeholders (with departments requesting the purchase, lawyers, vendors/suppliers).
  • Maintains and reviews all relevant records in a meticulous way.
  • Ensures that the cooperation between the involved departments (logistics, finance) runs efficiently: participate and follow up on a transparent procurement requests/offer system in cooperation with HQs and other field staff.

Qualifications
Hard Skills
·         University Degree (any technical university degree, BA in Economics/Finance/ Supply Chain Management or in Business Administration).
·         Fluent in English.

  • Strong IT skills.
  • At least 3 years of experience preferably in an NGO context.

Soft Skills
·         Strong organization and communication skills.

  • Deep understanding of NGOs needs and funding.
  • Multi-tasking, with an ability to work under tight deadlines and within constraints.
