Περίληψη καθηκόντων

Αναζητάμε έναν αξιόπιστο τεχνικό να αναλάβει εργασίες συντήρησης και επισκευής στο εσωτερικό ή στο εξωτερικό των κτιρίων και των διαμερισμάτων του SN. Τεχνικές γνώσεις σε μεγάλο εύρος εργασιών είναι σημαντικές δεξιότητες του τεχνικού που αναζητάμε. Ο Τεχνικός πρέπει να είναι οργανωτικός και με ικανότητες γενικών επισκευών σε διάφορους τομείς (π.χ. ηλεκτρολογικά, υδραυλικά, κτλ). Το παραπάνω άτομο αναμένεται να λειτουργεί σύμφωνα με τον Κώδικα Συμπεριφοράς της οργάνωσης και να επιδεικνύει υψηλό επίπεδο ακεραιότητας και δέσμευσης. Κύριες αρμοδιότητες/Καθήκοντα

  • Συντηρήσεις και επισκευές υδραυλικών ή ηλεκτρολογικών δικτύων μικρής κλίμακας
  • Εσωτερικοί ή/και εξωτερικοί ελαιοχρωματισμοί
  • Μικρές τεχνικές ή ξυλουργικές εργασίες (π.χ. τοποθέτηση θυρών)
  • Επισκευές εξοπλισμού ή οικιακών συσκευών, εφόσον είναι δυνατόν
  • Συνεννόηση, εφόσον απαιτηθεί, με εμπόρους και συνεργεία ηλεκτρικών, υδραυλικών ή HVAC (Θέρμανση, Εξαερισμός, Κλιματισμός) επισκευών
  • Ανάληψη των καθηκόντων που του έχουν ανατεθεί ή και καθήκοντα έκτακτης ανάγκης (π.χ. αποχιονισμός διαδρόμων)
  • Αναγνώριση και αναφορά για ανάγκη μεγάλων επισκευών

Απαιτούμενα

  • Αποδεδειγμένη εμπειρία ως τεχνικός
  • Κατανόηση των υδραυλικών και αποχετευτικών εγκαταστάσεων σε οικιακά κτίρια
  • Εμπειρία με τεχνικά εργαλεία και ηλεκτρολογικό εξοπλισμό

The Administration Officer is a member of the coordination team of the Accommodation project and serves as a point of contact and link between employees, internal departments (Log, HR, FIN) and external parties. She/he handles clerical and administrative duties, analyzes and improves office processes, ensuring organizational policies are in place and the smooth operation of the office.

Responsibilities

General Administration

  • Provide logistics and admin support in general for visits, meetings and workshops
  • Execute and monitor data management, as requested and directed by Supervisor
  • Provide regular secretarial tasks, such as taking minutes of staff meetings, correspondence, updating general contact lists, following up on stationary needs
  • Filing of general office documents
  • Undertake any other tasks requested by the Project Coordinator when the need arises
  • Place calls and writes letters to local authorities
  • Responsible for the orders of the project in coordination with the Procurement Department
  • Provides admin support to ensure compliance with labour law for all sites where SN staff is working
  • Manage field office filing and documentation
  • Participate in ESTIA field trips and assessments, as requested and directed by Supervisor
  • Handle travel authorization forms and collect time sheets
  • Follow-up on payments from the HQ office
  • Support on maintaining an assets’ register at the site level
  • Circulate information related to Standard Operational Procedures among employees
  • Circulate information related to project developments and needs among employees and departments

HR

  • Implement SN’s internal communication policies and ensure HR reporting for the project
  • Find the best options to avoid and/or resolve labour conflicts in the project, under the guidance of the HR department
  • Update the project’s organizational chart and job descriptions, assisting with preparing annual holiday planning and staff shifts in order to forecast HR needs
  • Plan and participate in HR processes such as recruitment, training, briefings, evaluation and development of staff
  • Ensure that hiring, contract amendment and termination formalities for project staff are carried out according to internal policies, under the guidance of HR and by preparing and filing all relevant documents
  • Plan the Annual Leaves of the Personnel
  • Manage logistical and administrative aspects of personnel travelling (tickets, planning of cars, etc)
  • Train, supervise and assist with the staff management

FIN

  • Assist in preparing project budget and follow up expenditure
  • Ensure compliance of expenses with valid account/source of fund /donor combinations
  • Contribute in preparation of all periodic financial statements and reports as per donors’ requirements and prepare any other necessary report and compilations, under the guidance of the Project Coordinator and in collaboration with the Finance Department.
  • Monitor petty cash expenses
  • Check invoices and expense reports

Qualifications-essential:

  • Minimum of two years’ relevant work experience in the administration of programs, and/or finance and/or human resources
  • Excellent IT skills (Excel, Word, PowerPoint)
  • Fluency in English and Greek
  • People-oriented with excellent communication skills
  • Comfortable in managing multiple tasks, with a problem-solving aptitude
  • Cross-Cultural Awareness and flexibility

Main Duties & Responsibilities

  • Focal point of communication and exchange between (a cluster of) hosting and hosted populations;
  • Directly supports beneficiaries through the usage of simple communication and moral uplifting techniques;

Required

  • University degree from an accredited academic in Humanities or Social Sciences;
  • Experience in social work within the civil society sector, preferably working with vulnerable groups and refugees/migrants;
  • Ability to work on own initiative and as part of a multi-cultural and multi-disciplinary team;
  • Ability to organize and prioritize workload, using initiative when appropriate;
  • Confidence with IT tools and software;
  • Ability to work unsupervised and at flexible working schedules;
  • Ability to troubleshoot and ease potential tensions between the project’s beneficiaries;

Interpretation

  • Provide interpretation of Business and soft skills training sessions from English to Arabic for two weeks at a time
  • Provide interpretation for interviews during selection process of training participants

  • Ensure accurate information is transferred to the beneficiaries in an understandable and culturally acceptable way.

Translation

  • Translate communication from English to Arabic and back (emails, whatsapp messages).
  • Translate texts and documents of informational or promotional nature.
  • Translate Business Model Canvases from Arabic to English or any other tasks assigned to training participants.

Other Duties

  • Provide clear and accurate interpretation in Mentoring sessions of students selected to follow mentoring and interpret the 16 hours.
  • Participate in outreach or promotion of the programme when required
  • Contribute to the identification of vulnerabilities among beneficiaries and facilitate their access to available aid
  • In charge of the daily attendance and signatures of all participants
  • Brief and debrief beneficiaries for running programs availability and inform ofany relevant change
  • Participate occasionally in ‘extracurricular’ activities and events i.e. graduation ceremony for Business4YOUth participants.

The Blue Dots Project: SolidarityNow, in collaboration with UNICEF, is implementing the ‘Comprehensive service provision for the integration and well-being of refugee children and families’ programme, creating Child & Family Care Hubs for children, women and other vulnerable people living in refugee camps. Every Child & Family Care Unit is a safe place for refugee children and their families, while the range of services offered at each one includes legal counselling, psychosocial support, info provision, case management, non-formal education services and more, towards a holistic approach. The project is being implemented in thirteen sites across mainland Greece.

Position Summary

The post holder will be responsible for all aspects of project management and the successful implementation of the Blue Dots Programme. (S)he will provide broad administrative, programmatic and financial support to the project, including direct assistance to the implementation AND close monitoring and evaluation of the undertaken initiatives. Under the guidance of the Programmes Director, the successful candidate will be able to multitask, perform vigorous follow-up and get directly involved in the implementation of different activities related to the people on the move.

Main Duties & Responsibilities

  • Coordinating the operational and administrative actions, ensuring that planned activities are implemented according to the approved projects documents, in close cooperation with project staff, HQ teams and partners, in compliance with contractual obligations and in accordance with the SolidarityNow’s Policies and Procedures;
  • Supervision and direct management of four staff – sector experts in North and Southern Greece;
  • Maintaining liaison and collaboration relationships with donors, authorities and stakeholders;
  • Monitoring the activities and the results achieved against the project indicators;
  • Developing and following implementation plans and timetables;
  • Producing progress, activity and other reports as per request and ensuring that all project reporting (internal and external) is completed in a timely and accurate manner;
  • Planning project expenditures and ensuring the compliance of expenditure of budgets with donor requirements;
  • Ensuring protection of refugees, asylum seekers and other vulnerable populations of concern, in accordance with international humanitarian standards and legally binding obligations;
  • Planning and supervising the development, implementation and monitoring of standard operating procedures in relation to protection mechanisms and activities;
  • Conducting field visits/work and participating in field activities on an ad hoc basis;
  • Contributing to the development of management, logistics, administrative & monitoring tools and techniques, while also supporting project staff’s capacity building on aspects relating to effective project management;
  • Performing any other task related to the implementation of the project as requested;
  • In collaboration with other Programmes staff, support the development of new funding proposals

Required qualifications and skills

  • University degree (preferably Master’s) from an accredited academic institution in Humanities, Social Science, Law, Political Sciences, International Relations or related;
  • Minimum five (5) years of experience in Project Management preferably in the humanitarian and/or development sector and in the area of Child Protection and / or Education in particular;
  • Experience with institutional donors’ regulations and requirements;
  • Knowledge of PCM and financial management;
  • Experience in working with IOs, NGOs as well as with governmental and local authorities;
  • Excellent knowledge of English and Greek; a third language (related to the people on the move emergency) would be considered as an asset;
  • Good knowledge and competence of IT applications and software;
  • Ability to work under a distance-management scheme;
  • Ability to work with and coordinate activities of more than 50 field staff
  • Ability to work on own initiative and at the same time as part of a multi-cultural and multi-disciplinary team;
  • Ability to organize and priorities workload, using initiative when appropriate;
  • Understanding of the people on the move emergency and the socio-economic hardship aspects, demonstrating high cultural sensitivity.
  • Ability to work under high pressure with a great level of personal organization
